Documenting Efficiency: Quick Solutions for Busy Times

Question: Do you find yourself overwhelmed and feel you don't have time to create the detailed Standard Operating Procedures (SOPs) that you know you need?

"I don't have the time to create procedures" is one of the most common sentences I hear. In fact, very few people I have talked to have NOT said this. Many professionals find themselves caught in this mindset. They recognize the need for well-documented procedures to not only streamline, but help train, yet the overwhelming daily workload keeps pushing the documentation off the to-do list. The result is a vicious cycle where they're trapped doing all the work themselves because there's no time to train others effectively. Without taking the time to create these vital resources, they remain stuck in a perpetual state of overload.

Thought: Efficiency lies in the ability to adapt quickly to evolving situations

In the world of operations, this means leveraging accessible tools to capture and streamline processes, even when you're short on time. By having a second person shadow you taking notes to capture the process, or using simple yet powerful recording tools, you can ensure that essential tasks are documented and easily shareable, keeping operations smooth and efficient.

Tip: Record your tasks as you perform them

You're doing the work anyway, right? Why not simply record yourself as you walk through the task. Here are a few tools to help you get started:

  • Loom (Free version): Utilize Loom to make quick 5-minute screen recordings (longer if you use a paid version). Simply start recording your screen while performing the task, and you have an instant tutorial that can be shared with your team.

  • Zoom (Free version): Set up a Zoom call - with yourself. You don't need to invite anyone else to the call. Share your screen and hit record. The free version allows up to 45-minute recordings, perfect for longer processes.

  • Scribe: Scribe uses AI to generate how to guides from your recordings. The free version allows you to create and share up to 10 documents, making it a powerful tool for producing quick and comprehensive guides.

Using these tools, you can build a library of task recordings to ensure consistency and efficiency across your team without the immediate need for extensive documentation.

Personal Update: New Membership Coming This Month!

A study by the Association for Talent Development found that individuals who have an accountability appointment with a committed partner have a 95% chance of achieving their goals.

That's impactful.

And another reason I am excited to announce that I am launching an exclusive membership soon with two tiers: Basic and Executive.

This membership will feature a dedicated hub providing access to a digital library with templates and guides, video tutorials, and a chat group for members to ask questions, celebrate wins, share struggles, post help-wanted ads, and find the accountability you need to reach your goals.

For those who opt for the Executive tier, you'll also gain access to specialized courses designed to streamline and systematize your business operations.

Stay tuned for more details!
