ChoirKey Privacy Policy

This privacy policy explains how ChoirKey handles information when you use the ChoirKey iOS app. ChoirKey is provided by Larkfield Digital and Tristan Russcher.
What ChoirKey does
ChoirKey provides rehearsal audio, score viewing where available, playback controls, transposition, tempo adjustment, looping tools, favourites, sorting and filtering, offline downloads, and related library features for choir and singing practice.
Information we collect
ChoirKey collects only the information needed to provide and protect choir library access, operate the app, support offline rehearsal features, and help choirs understand use of their libraries.
- Choir Key: the access code entered in the app so the correct choir library can be shown.
- Email address: for choir libraries that require additional authorisation, the app may ask for an email address and store it against that choir's access records.
- Device identifier: the app creates a random app-specific device ID so access and usage can be associated with that installation. This is not Apple's advertising identifier.
- Usage information: the app may record launch counts, player minutes used, the date the app was last used, and the iOS version.
- Library and track information: the app downloads track metadata, audio files, score files, and update information for the choir library you access.
- Local preferences: the app stores settings such as favourites, appearance preference, playback display options, score/audio sync settings, and downloaded-file state on your device.
- Support information: if you contact us by email, we receive the information you choose to include in that message.
Information stored on your device
ChoirKey stores some information locally on your device using Apple iOS storage, including app preferences, the saved Choir Key, the random app-specific device ID, favourites, cached track metadata, downloaded audio files, downloaded score files, and file update information.
You can remove downloaded audio and score files using Clear Cache in the app or track-specific removal controls where available. Deleting the app removes local ChoirKey data from the device.
How we use information
- To check whether a Choir Key is valid and whether the library is available.
- To check whether a device is authorised for protected choir libraries.
- To provide the correct rehearsal audio, scores, metadata, and library updates.
- To support offline downloads and playback within the app.
- To save user preferences and app settings.
- To help choirs, institutions, or rights holders understand library use and manage access.
- To respond to support requests and troubleshoot problems.
- To maintain the security, reliability, and integrity of the app and its services.
Services we use
ChoirKey uses Firebase Realtime Database and Firebase Storage to provide database, library metadata, access-control, usage-recording, and file-download features. Firebase is provided by Google and processes information needed for those services.
ChoirKey also uses Apple iOS frameworks for normal app operation, including audio playback, background audio, file storage, networking, and email handoff to the user's configured mail app.
Analytics, advertising, and tracking
ChoirKey does not use advertising services and does not sell personal information. The app does not use Apple's advertising identifier and does not track users across apps or websites owned by other companies for advertising or data-broker purposes.
ChoirKey does record limited app and player usage information for library administration, as described above. This information is used to operate and support choir library access, not for third-party advertising.
Sharing information
We do not sell your personal information. We share information only where needed to provide the app, work with service providers, support choir or institutional access management, comply with law, protect rights and security, or respond to support requests.
Where a choir, school, institution, teacher, publisher, or rights holder provides or manages a choir library, relevant access and usage information may be made available to them for administration, support, reporting, licensing, and access-control purposes.
Children and younger singers
ChoirKey may be used by younger singers as part of choir, school, teaching, or rehearsal activity. If you are not old enough to consent to the processing of your own information, you should use the app only with permission from a parent, guardian, school, choir, teacher, or other responsible organisation as appropriate.
Retention
We keep information only for as long as needed for app access, support, legal, security, reporting, licensing, and operational reasons. Local information remains on your device until removed in the app or until the app is deleted.
Your choices and rights
You can contact us to ask about access, correction, or deletion of personal information associated with ChoirKey, subject to legal, security, access-control, licensing, and operational limits. If your access is provided by a choir, school, institution, teacher, publisher, or rights holder, we may need to involve them to handle your request.
Security
We use reasonable technical and organisational measures to protect app data. No app, network, or online service can be guaranteed to be completely secure.
Changes to this policy
We may update this policy when the app, services, or legal requirements change. The latest version will be made available through the app or the app's support information.
